The Opportunity

Your journey with us will involve meeting with clients to bring their visions to life, from conceptualising ideas to delivering the live event. It's exhilarating to see that beautiful, fully styled space after all the hard work of creating, planning, and organising!

Overall Job Responsibilities:

This role will incorporate the following key responsibilities but is not limited to:

  • Manage the day to day duties of the office in conjunction with the Creative Director including:

  • Operational plan for the week eg: diary

  • Manage and coordinate the set up and breakdown of the events and themes

  • Ensure all equipment and services are booked and ready for upcoming events in line with sufficient time frames

  • Supervise and direct casual and/or part-time event / theme assistants as required for allocated events

  • Maintain all props and equipment in good working condition

  • Produce professional and accurate quote documents for requests or send suitable information in a timely manner [including, brochures, email, pictures, samples etc]

  • An all-rounder – managing external and internal stakeholder relationships 

  • Coordinate events for company requirements with venues, clients and suppliers

  • Attend and actively participate in regular meetings where and when required

  • Manage the booking and coordinating of any suppliers as required by events

  • Produce event orders to the precise requirements and requests of the client (in agreement with the quotation)

  • Ensure follow up is conducted post event with clients

  • Maintain regular entries and updates of stock inventory 

  • Maintain all databases with correct and current information including client information

  • Management of day hire bookings

  • Management of company vehicle, including maintenance checks, WOF, and road user charges

  • Actively participate ideas for continued improvements of presentation documentation and intellectual ideas for the company

  • Initiate sales and/or networking opportunities where possible to positively promote the company / brand

  • Participate in brain storming sessions for theme ideas/concepts and company overall developments

  • Attend business functions, tradeshows etc representing the company, where required

  • Answer all correspondence and enquiries received during the working week within 24 hours of receipt; maintain good public relations with customers.

  • Treat customers and colleagues from all cultural groups with respect, sensitivity and transparency.

  • Encourage customer feedback regarding our product and services. Listen to and take action on this feedback where applicable.

  • Facilitate the smooth running of the office through adequate and timely supplies of materials and equipment

  • Adhere to budgets through use of purchase orders and inventory control systems

  • Be proactive in controlling costs being fully aware of forecasted business and targeted profitability whilst maintaining standards.

  • Ensure company, customer / client, and employee information or transactions are kept confidential during or after employment with the company

    Summary

  • While there are demanding roles within these task specifications, there will be requirements from time to time whereby you may be requested to handle the more menial tasks or chip in with the team to help someone finish a task.

       About you

       We are looking for a keen candidate with the following skills and qualifications:

  • Tertary qualifications within Event management

  • Full driver’s licence

  • Previous experience within a similar capacity / in the business events industry of at least 3 + years

  • Photography experience an advantage

  • Outstanding attention to detail

  • Strong oral and written communication skills

  • Organizational skills, ability to meet tight deadlines and multi-task

  • IT:  Word, Excel, experience with inventory software an advantage
